Why Consistent Document Details Matter
Names, telephone numbers, addresses and reference details should remain consistent across related records wherever possible. Small inconsistencies can create unnecessary confusion during administrative processes.
Key information is often repeated across forms, letters, identity records and correspondence. When those details differ, even slightly, a routine administrative check may take longer than expected.
Keep a simple reference record with the preferred name, identification or file references, address, telephone number and authorised contact information. Use it whenever a new document is prepared.
Before making a change, consider which existing records may also need to be updated. A consistent record is easier to understand, verify and maintain over time.
